Open Outlook for Mac. Select Other User's Folder. Select Inbox from the folder type drop-down menu. Enter the Title of your shared folder in the search box. Select your Shared Mailbox from the list. I am using Outlook 2013 while other users that will also be using this OFT have Outlook 2010. The purpose here is that I have a single purpose user I created and granted 'send as' rights to a certain group of employees. E-mail template used by Microsoft Outlook, a popular e-mail client for Mac; contains a pre-formatted layout that can be used for creating custom messages with a similar look and feel; may also be saved as an Outlook 'form,' which includes a script that runs when the file is opened. To create an OFT file, first open and edit a new message.

Outlook 2013 makes creating an email template easy, and using it is even easier! Your templates can include text formatting, images, signatures, and attachments. To create an email template: Click New E-mail in the New group on the Home tab. As far as I know, there is no Outlook 2013 for Mac.The successor to Outlook 2011 for Mac was simply called Outlook for Mac (or Outlook 15.3). However, I do know that all Outlook's versions on Mac use WebKit's rendering engine (instead of Word's rendering engine on Windows).

System requirements

The Dropbox for Outlook integration is available for email accounts hosted on Microsoft Exchange 2013 or later. This is available on the following:

  • Office 365 version 16.0.116291 or later
  • Exchange Online
  • On-premise installations

Note: POP/IMAP email accounts like Gmail are not supported.

The Dropbox integration works with the following:

  • Outlook on web
  • outlook.com
  • On Windows 10 and up, Dropbox for Outlook is available on version 2016 of the Outlook desktop application
  • On Mac, Dropbox for Outlook is available on version 2016 of the Outlook desktop application

Notes:

  • The Dropbox for Outlook integration is not supported in Outlook on mobile and older versions of Outlook on desktop
  • The Dropbox for Outlook integration is not supported on Windows 7.
  • Windows 10 must be updated to version 1903 and later to use the Dropbox for Outlook integration.

How To Create An Oft

Install the Dropbox for Outlook integration

You can install the Dropbox for Outlook integration from the Dropbox App Center or directly from Microsoft AppSource.

To install from Microsoft AppSource:

  1. Go to Dropbox for Outlook on the Microsoft AppSource site.
  2. Click Get it now.
  3. Enter your Microsoft account credentials.
  4. Click Continue.
  5. Click Add.
  6. Make sure the correct email account is selected. Then, click Continue.
  7. You'll be brought to your Outlook account. Click Install.
  8. Click OK.

You'll now see Dropbox in your list of add-ins in your Outlook account.

Note: If you're a Dropbox Business team member and you're unable to install Dropbox for Outlook, your admin may have restricted third-party integrations. Please contact your admin for help.

Configure and use the Dropbox for Outlook integration

Once you or your admin install the integration, you'll see Dropbox for Outlook available for use with your email account on supported email clients. To get started, simply click the Dropbox icon in the Outlook ribbon or email header to open the integration, then sign into your Dropbox account.

Windows users

The first time you use Dropbox for Outlook, your web browser may display a security alert asking you to allow theInternet Low-Mic Utility Toolto open content. Click Allow.

Attach a file from your Dropbox account to an email

  1. When composing an email in Outlook, click the Dropbox icon to access your Dropbox account.
  2. Select the files or folders you'd like to include in your email.
  3. Click Choose. A shared link is generated for each file or folder you select.

Save an attachment to your Dropbox account

  1. When you receive an email with attachments or Dropbox shared links, click the Dropbox button in the Outlook ribbon or email header.
  2. Select the attachments you'd like to save to your Dropbox account.
  3. Choose a location in your Dropbox account to save the attachments.

Known limitations

There are some known limitations for the integration.

OFT files are Outlook Templates, also sometimes called Outlook File Templates. You can make email templates from them, but as with most Microsoft products the quality can be quite flaky if you are not careful. I have had to create many OFT files for clients and if you go back in time and code to 1996 web standards you can get them to look pretty decent.

There's too ways to create OFT files. One is to save the email from the Save As menu and select OFT under the Save as type: drop down. This means you already have the email in your inbox, which means mailing the html with a 3rd party program.

There's an easier way to do this which will allow you to skip the step of sending yourself the email. The OFT process could even be handed off to the business people that need the OFT.

Here you can type / paste any web address and it will load the page in Outlook. Once this is done, in the menu go to,

Actions / Send Web Page by E-mail

Now you will see the page in a new mail window. If the webpage was not to complex and created using tables, it should look okay. Pure css and more complex designs will not work at all and really shouldn't even be considered for any email deployments. I'm a strong supporter of web standards, unfortunately some major email platforms are not.

Create Outlook Template Oft

The next step is to save the email as an OFT. Go to,

Giant windows bubble (AKA Office Button) / Save As

Select OFT, name the file and save.

You should now have an OFT file. You can test this by double clicking it which will open Outlook. You can now edit the text and send to other people. OFT files can be a cheap internal alternative to full blown email deployments. I would only recommend OFT files for small internal newsletters. OFT's may not work properly on other email clients and are proprietary.
